Job Description

We are looking for an enthusiastic, organised and detail-oriented Order Processing Assistant to join our client’s growing team in Luton . The Role

As an Order Processing Assistant, you will play a vital role in ensuring customer orders are processed accurately and efficiently from receipt through to delivery. Working closely with colleagues in the UK and internationally, you will help provide an outstanding customer experience while supporting our sales, logistics and operations teams.

Key Responsibilities

  • Order Processing
    • Accurately enter customer orders into our ERP system and verify all order details.
    • Monitor orders throughout the fulfilment process to ensure timely delivery.
    • Provide customers with regular updates on order progress and any changes.
  • Customer Service
    • Respond promptly and professionally to customer enquiries regarding orders, deliveries and product availability.
    • Resolve order-related issues including discrepancies, delays and returns.
    • Work collaboratively with sales, warehouse and logistics teams to deliver excellent customer service.
  • Administration
    • Maintain accurate customer and order records.
    • Prepare and issue order confirmations, invoices and shipping documentation.
    • Ensure all documentation complies with company procedures, including international shipments between the UK and overseas.
  • Logistics Coordination
    • Liaise with third-party logistics providers to arrange deliveries and monitor shipments.
    • Track delivery performance and support cost-effective shipping solutions.
    • Help ensure orders are dispatched on time and within agreed deadlines.

About You

You’ll be a highly organised individual with excellent attention to detail and a passion for delivering exceptional customer service.

We’re looking for someone with:

  • 1–3 years’ experience in order processing, sales administration or customer service.
  • Experience using ERP or order management systems (Sage or similar would be advantageous).
  • Good working knowledge of Microsoft Office, particularly Excel, Outlook and Word.
  • Excellent written and verbal communication skills.
  • Strong organisational and time-management abilities.
  • The ability to manage multiple priorities while maintaining a high level of accuracy.
  • Experience working with international customers or logistics would be beneficial.
  • Knowledge of shipping platforms or third-party logistics providers would be an advantage.
